      Key Responsibilities:

      • Collaborate with the Payroll Service Team to ensure timely processing and verification of payroll transactions, including inputs, deductions, remittances, and reports.
      • Administer payroll on a bi-weekly basis for around 900 unionized and non-unionized employees across multiple locations nationwide.
      • Update monthly statistical reports and manage the record-keeping systems for various provincial workers’ compensation boards.
      • Assist with month-end and year-end procedures, including preparing statistical reports, statements, and summaries as needed.

      Payroll

      • Work closely with Human Resources to process employee data related to new hires, terminations, changes, and pay calculations.
      • Review and audit timesheets for accuracy, resolve discrepancies, and make necessary adjustments.
      • Calculate and input pay adjustments as needed, ensuring all approvals are documented.
      • Audit payroll inputs and ensure accuracy when submitting payroll data to ADP.
      • Prepare reports and payment requests for non-statutory deductions such as garnishments, union dues, charity donations, provincial workers’ compensation, and benefit premiums.
      • Manage the distribution of ROEs to employees and handle inquiries from Service Canada.
      • Oversee scheduling and timecard auditing for seasonal and part-time staff.
      • Perform additional payroll-related duties as required.

      ADMIN

      • Provide payroll-related reports to the Human Resources department as requested.
      • Administer timekeeping processes for the CLC time-off, attendance, and overtime modules in ADP.
      • Assist Human Resources with employee orientation and onboarding, including providing tax forms and direct deposit information.
      • Help assign and register barcodes on ID badges for new hires.
      • Provide ongoing training and support for timekeepers using the Workforce Now (WFN) Time and Attendance Module.
      • Ensure compliance with company and departmental policies and procedures.
      • Perform other administrative tasks as needed.
      • Assist with month-end and year-end closing, including preparing management reports, statutory statements, and summaries.
      • Update and maintain tracking systems, including reconciling Canada Revenue and Revenu Quebec accounts.
      • Support the completion of month-end payroll tasks, including journal entries and integration with JD Edwards accounting system.

      Qualifications and Experience:

      • Bilingual – fluent in both French and English, written and oral communication skills required.
      • College diploma or university degree in business administration, finance, accounting, payroll, or a related field is preferred.
      • Minimum of 3 to 5 years of relevant experience in a similar role.
      • Membership with the National Payroll Institute and progress toward or completion of the Payroll Compliance Professional (PCP) certification is an asset.
      • Proficiency in ADP WFN payroll software or similar payroll systems is required.
      • Strong Excel skills are essential.
